Find and download project files

See every file already on a project in one list, filter by source or file type, and download a selection as a zip.

The Documents tab on a project lists the files already saved on that project, so you can find a receipt, invoice, spec, or photo without opening each record.

What appears on the Documents tab

The list includes:

  • Email attachments from threads assigned to the project

  • Vendor invoices, receipts, and other files on a purchase order, plus the purchase order PDF

  • Invoice, estimate, and retainer PDFs

  • Product specifications, warranties, installation instructions, and product photos

  • Receiver photos, the project contract, the project cover photo, and room photos

Note: Email attachments are the ones from the Gmail account connected to you. The other files on the project are available to your company.

Filter and sort the list

  1. Open the project and click Documents.

  2. Use Source to show or hide where a file came from. Each source shows how many files it has. A source with none is greyed out. Choose Uncheck all to clear the sources, or Check all when they are all cleared.

  3. Use Type to keep images, PDFs, documents, spreadsheets, presentations, or other file types. The counts stay in step with the sources you have checked.

  4. Click File, Added, or Source to sort the list.

Filters and sort stay in the page address. If you open a file and use the browser Back button, the list is still filtered the way you left it.

The source name links to that record: the email thread, order, invoice, estimate, retainer, product, project overview, or room.

Download files

  1. Check the files you want. The checkbox in the header selects the files on the current page. The list shows 100 files per page.

  2. Click Download. Alcove prepares a zip named project-documents.zip.

Note: A download can include up to 40 files or 20 MB. If the selection is larger, choose a smaller set. You can also preview or download a single file from its row.

If one file cannot be read, it is left out of the zip and the rest of the files still download.
