Using Inbox Review

Turn on Inbox Review to have Alcove scan incoming email and suggest project and product updates for you — free during the beta.

Written by Jake Hall

Inbox Review keeps your projects moving by turning the emails already coming in from vendors, clients, and receivers into ready-to-apply updates—order status, product details, project assignments, and more. Review each suggestion and apply only what you want. Nothing changes in Alcove until you do.

Important Note:
Inbox Review is free during the beta for companies on the Professional plan.

What you get

With Inbox Review turned on, Alcove can:

  • Flag vendor, client, and receiver emails that look relevant to an active project

  • Suggest updates to order status, product details, and project assignments based on what's in the email

  • Let you check off exactly which suggested updates to apply, and skip the rest

  • Match an email to the right product when more than one candidate is possible

Before you start

  1. Connect Gmail under Account → Manage Gmail Connection.

  2. Ask a company admin to assign you an Inbox Review seat under Team → Inbox Review (each person uses one seat).

  3. Keep active projects in Alcove so emails can be matched.

Assigned people still turn scanning on themselves under Account → Manage Gmail Connection.

Turn on Inbox Review

  1. Log into your Alcove account and click the Profile icon in the top right.

  2. Go to the Account tab >> Manage Gmail Connection, and connect Gmail if you haven't already.

  3. Find Inbox Review and choose how often to scan:

    • Off

    • Daily — once each morning in your local time

    • Real Time — right after new mail syncs into Alcove

  4. Your choice saves immediately.

Review suggestions

When Inbox Review finds something to review:

  1. Open the Inbox Review notification, or go to Messages → Inbox Review.

  2. Open a suggestion to see the original email alongside the proposed updates. Previous and Next move through this list without going back. Dismiss opens the next suggestion when there is one.

  3. Check the updates you want to save. Leave a box unchecked to skip that update.

  4. If you see Which product is this? on By email or an expanded project row, choose the matching product. Choosing one also checks Include; clear Include if you'd rather leave that match for later. When no candidates are listed, search with Which product is this for? The open email still says Needs a product pick.

  5. A new ship-to contact is listed as an add and starts checked. Applying adds that person and leaves the contacts already on the project in place.

  6. If a product, service fee, or estimate row says Order {number} does not exist or Invoice {number} does not exist, that number is not on the project. It stays visible, the box cannot be checked, and Apply does not save it.

  7. Choose whether to File under the matched project, then Apply—or Dismiss to skip the message entirely.

Apply on By email and on an expanded project row saves the checked fields and any product you included. If every product match was included and the save succeeded, the suggestion leaves Needs review. If a match is still open, the suggestion stays Partial.

Adjust a suggestion

If a suggestion is close but not quite right, open it and use Adjust suggestions:

  • Enter a short correction and choose Revise

  • Choose Refresh suggestions after updating the project manually

These are available for any matched, unapplied email.

Undo an apply

Right after you apply from an open suggestion, or from Apply N selected, Undo appears for about 10 seconds and restores the saved fields. Undo from an open suggestion also restores the email's previous project filing. A single Apply on a list row does not offer Undo.

Manage or turn off Inbox Review

Go to Account >> Manage Gmail Connection any time to change your scan schedule or set it to Off. Suggestions already in Inbox Review stay put until you apply or dismiss them, even after you turn scanning off. Admins can also remove a seat under Team → Inbox Review.

Best practices

  • Keep your active projects up to date in Alcove so Inbox Review has something to match against.

  • Start with Daily and switch to Real Time if you want updates the moment mail comes in.

  • Use Adjust suggestions instead of dismissing when a match is close—it helps Inbox Review get it right next time.

  • Double-check product matches before applying when more than one product could reasonably fit.

Privacy

Inbox Review is designed to look at as little as possible. Incoming email is first checked using just a small snippet—enough to tell whether it's likely related to one of your projects. Only once an email looks project-relevant does Inbox Review analyze the full message for possible updates; everything else is skipped at that first check.

Only AI reads your email—no one at Alcove ever reviews it as a person. Inbox Review only reads your own connected Gmail—never a teammate's inbox. You can revisit this explanation any time from the Privacy button on the Inbox Review page.

Important notes

  • Nothing is changed in your projects, products, or orders until you review and apply a suggestion.

  • Inbox Review isn't available on the Procurement plan.

  • This is a different feature from Alcove's built-in AI chat (Talk to Your Project) and AI Assistants (external AI tool connections)—Inbox Review works passively in the background on your email.

  • For on-demand extraction from a single open email thread, see AI Extract Updates from Email.

Inbox Review turns the emails already piling up in your inbox into ready-to-apply updates—so you spend less time on data entry and more time on design.
